These Terms of Service ("Terms") constitute a legally binding agreement between you and Synolo Healthcare Limited ("Synolo," "we," "us," or "our") regarding your access to and use of the Synolo platform and services.

By accessing or using our services, you agree to be bound by these Terms and our Privacy Policy. If you do not agree to these Terms, you may not access or use our services.

These Terms apply to all users, including therapists, clients, administrators, and organizations using the Synolo platform.

2. Description of Services

Synolo provides a digital platform designed to support group therapy, mental health services, and therapeutic education. Our services include:

  • Secure group therapy management and communication tools
  • Resource sharing and educational content delivery
  • Scheduling and reminder services
  • Progress tracking and reporting features
  • AI-powered content moderation and crisis detection
  • Administrative and compliance tools for healthcare organizations

Important Notice

Synolo is a support platform and is NOT intended for emergency situations, crisis intervention, or as a replacement for immediate medical or psychiatric care. If you are experiencing a mental health crisis, please contact emergency services or a crisis helpline immediately.

3. User Responsibilities and Conduct

Account Security

  • Maintain the confidentiality of your login credentials
  • Use strong passwords and enable multi-factor authentication when available
  • Notify us immediately of any unauthorized access to your account
  • Ensure that only authorized individuals access your account

Acceptable Use

  • Use the platform only for legitimate therapeutic and educational purposes
  • Respect the privacy and confidentiality of other users
  • Follow the guidance and rules established by your therapist or group facilitator
  • Report any concerns about safety or inappropriate behavior

Prohibited Activities

You agree not to:

  • Share inappropriate, harmful, or offensive content
  • Harass, threaten, or intimidate other users
  • Attempt to circumvent security measures or access unauthorized areas
  • Use the platform for commercial purposes without authorization
  • Share personal contact information of other users without consent
  • Use automated tools to access or interact with the platform
4. Healthcare Professional Responsibilities

Mental health professionals using Synolo agree to:

  • Maintain current professional licensing and credentials
  • Follow applicable professional ethics codes and standards
  • Ensure proper supervision and oversight of therapy groups
  • Implement appropriate crisis intervention procedures
  • Maintain professional boundaries in all platform interactions
  • Comply with relevant healthcare regulations and record-keeping requirements
  • Provide clear informed consent to clients regarding platform use

Professional Standards

Synolo supports but does not replace professional clinical judgment. Therapists remain fully responsible for clinical decisions, crisis management, and ensuring appropriate care for their clients.

5. Privacy and Confidentiality

All users acknowledge and agree that:

  • Group therapy sessions may include multiple participants
  • Information shared in groups may be visible to other group members
  • Therapists and administrators may access user data as necessary for care provision
  • Platform usage data may be collected for safety and improvement purposes
  • Certain situations may require disclosure to protect user safety or comply with legal requirements

6. Intellectual Property

Synolo's Rights

The Synolo platform, including all software, designs, text, graphics, and other content, is owned by Synolo Healthcare Limited and protected by intellectual property laws.

User Content

You retain ownership of content you create, but grant Synolo necessary licenses to provide services:

  • Right to store, process, and display your content within the platform
  • Right to make backups and ensure service continuity
  • Right to use aggregated, anonymized data for service improvement

Third-Party Content

Some therapeutic resources and materials may be provided by third parties. Users must respect all applicable copyrights and licensing terms.

7. Payment and Billing

Subscription Fees

  • Fees are charged based on your selected subscription plan
  • Payment is due in advance for each billing period
  • Prices may change with 30 days' advance notice
  • Failed payments may result in service suspension

Refunds and Cancellation

  • You may cancel your subscription at any time
  • Cancellation takes effect at the end of the current billing period
  • No refunds are provided for partial billing periods
  • Free trial cancellations do not incur charges
8. Service Availability and Modifications

While we strive to provide continuous service availability, we cannot guarantee uninterrupted access. We reserve the right to:

  • Modify, update, or discontinue features with reasonable notice
  • Perform maintenance that may temporarily affect service availability
  • Suspend or terminate accounts that violate these Terms
  • Implement changes required for legal compliance or security

We will provide advance notice of material changes whenever possible and maintain our commitment to service reliability.

9. Limitation of Liability

Synolo is a technology platform that supports therapeutic services but is not a healthcare provider. We do not provide medical advice, diagnosis, or treatment.

To the maximum extent permitted by law, Synolo shall not be liable for:

  • Any indirect, incidental, special, or consequential damages
  • Clinical decisions or outcomes related to therapy services
  • Actions or omissions of healthcare professionals using the platform
  • Technical issues or service interruptions beyond our control
  • Loss of data due to user error or third-party actions
10. Termination

By You

You may terminate your account at any time by contacting our support team or using the account settings. Data export options are available before termination.

By Us

We may suspend or terminate accounts for:

  • Violation of these Terms or our policies
  • Non-payment of fees
  • Suspected fraudulent or illegal activity
  • Risk to platform security or other users

Effect of Termination

  • Access to the platform will be immediately suspended
  • Data retention follows our Privacy Policy and legal requirements
  • Outstanding fees remain due and payable
  • Certain provisions of these Terms survive termination
11. Governing Law and Disputes

These Terms are governed by the laws of Northern Ireland and the United Kingdom. Any disputes will be resolved through:

  • Good faith negotiation between the parties
  • Mediation through an agreed mediator
  • Arbitration or court proceedings in Northern Ireland if necessary
